Meeting Minutes
Tuesday, November 16, 2015
Location: Timothy Smith Room
Present: Sheila Vanderhoef, Town Administrator; John Knight, Selectman; Fred Guidi, Finance Committee; Neil Andres, DPW Superintendent; Jacqueline Beebe, Assistant Town Administrator; Patrick O’Connell
The meeting was called to order by Sheila Vanderhoef at 9:00 A.M.
Meeting Minutes: The November 2, 2015 meeting minutes were approved.
Project Updates: Ms. Vanderhoef stated the Water Project website continues to be updated weekly, and a new map of Phase 1, color coded to identify each of the eight contracts, was added. The website’s timeline will be refreshed to reflect the work on Route 6, which is approximately two weeks ahead of schedule at this time.
Contractors are permitted to continue working on Route 6 until December 15, weather dependent, and work on town owned side roads may continue throughout the winter, weather permitting.
Other visible work occurring throughout the town includes Dig Safe and Environmental Partners preparing for Contracts 7 and 8. Contracts 7 and 8 will be sent out to bid once the private road easements are complete.
Timeline for the OPM RFP: Attached. The Municipal Water Capital Projects Committee, along with Jacqueline Beebe and Neil Andres will be reviewing all proposals in January – February 2016.
Updated Project Budget: Attached. The Weston & Sampson and Asset Management amounts are final, others will continue to be adjusted as the project progresses.
Ms. Vanderhoef is continuing to streamline the private road easement process, as this is a substantial ongoing expense. The Town’s Assessing Department will continue to work on obtaining the property record cards and deeds in an effort to both decrease the cost and expedite the process.
The next meeting will be held on December 7, 2015 at 9:00 A.M.
